Collecting the patient balance without a collections letter

Balances stop ageing in silence, and the first contact a patient gets about money is an explanation rather than a statement

After the insurance payment posts, a patient portion is left over that nobody has spoken to the patient about, and the statement run goes out monthly to an address that may be old. Balances age quietly across the group until somebody decides whether to write them off or send them out. If you own a dental group, that is a desk in your own business.

What the work is

An agent that works aged patient balances after the payment has posted, explains what the insurance paid and what remains in the patient’s own terms, offers the payment methods the group already accepts, and sets up an arrangement inside the bands the group has approved. Disputes and hardship go to the office manager with the ledger attached. In the Cabinet, ArkOne’s reference design for an executive agent, this is the Finance seat: one of ten specialists the room can consult, each a name, a model and a set of instructions rather than a department.

The part of the design carrying the weight here is the mandate, and the setting that governs it is stated once on the Register.

What it does not do

Waiving a balance, writing it off, or sending an account outward is a person’s decision and is never taken by the agent. That is not a limitation of the software. It is the line the reference design draws on purpose, and a vendor who offers to move it is selling you something else.
