A patient cancels an hour before their appointment. The chair is worth nothing for the rest of the day unless somebody rings down a waitlist immediately, and the person who holds that list is checking in the patients who did turn up. If you own a dental group, that is a desk in your own business.
What the work is
An agent watching the schedule for cancellations and failed appointments. When a unit opens it matches the gap length and provider to waitlisted patients who need that kind of visit, offers the slot to a small group at a time rather than blasting the list, and confirms the first acceptance into the schedule. In the Cabinet, ArkOne’s reference design for an executive agent, this is the Operations seat: one of ten specialists the room can consult, each a name, a model and a set of instructions rather than a department.
The part of the design carrying the weight here is the clock, and the setting that governs it is stated once on the Register.
What it does not do
Whether a patient with a history of failed appointments is offered a short-notice slot at all is the office manager’s call, not a scoring rule. That is not a limitation of the software. It is the line the reference design draws on purpose, and a vendor who offers to move it is selling you something else.
What changes
An empty chair is offered while it is still worth filling, instead of being discovered in the evening report.
Take short-notice list, failed appointment, open unit into the demonstration and use them without explaining them. A vendor whose agent handles this work already knows those words; one who asks what they mean is showing you a system built for a different trade.
