Reaching patients while their benefit year still has room

Patients hear about cover they are about to lose while the schedule still has room, rather than in the fortnight when it does not

Insurance benefits reset annually and unused cover is simply lost, but nobody at the front desk has time to work out which patients have room left and something diagnosed. The group notices in the last fortnight of the year, when the schedule is already full. If you own a dental group, that is a desk in your own business.

What the work is

An agent that finds patients with remaining benefit and an existing diagnosis or an overdue recall, well before the year turns, and writes to them about what their plan will still cover and what the schedule can offer. Elective work is offered only where the chart supports it. In the Cabinet, ArkOne’s reference design for an executive agent, this is the Marketing seat: one of ten specialists the room can consult, each a name, a model and a set of instructions rather than a department.

The part of the design carrying the weight here is the brief, and the setting that governs it is stated once on the Register.

What it does not do

The practice owner sets which procedures may ever be promoted this way, because an expiring benefit is a reason to write to someone and never a reason to treat them. That is not a limitation of the software. It is the line the reference design draws on purpose, and a vendor who offers to move it is selling you something else.

What changes

Take benefit year reset, remaining maximum, unused benefit into the demonstration and use them without explaining them. A vendor whose agent handles this work already knows those words; one who asks what they mean is showing you a system built for a different trade.
